Rules and guidelines for conference contributions
Affiliation issue
According to a decision of the AMBER Collaboration Board made 19th of April 2023 AMBER members affiliated with Russian institutions or JINR should use only ORCID number as a reference for their institutions (option C of LHC) for the contributions, which are done on behalf of the AMBER collaboration.
Timelines for conference contributions and proceedings
- Ten days before the abstract deadline, request permission to give an AMBER conference talk or poster by emailing the PubCom (amber-pubcom@cern.ch).
- At least five days before the abstract deadline, send a draft abstract to the PubCom.
- By the abstract deadline, submit your abstract and send a copy to the PubCom.
- Ten days before your talk or poster session, request a time slot for your rehearsal by emailing the PubCom.
- Immediately after the talk or poster session, send your as-presented slides or poster to the PubCom.
- Submit proceedings to the PubCom for feedback two weeks before the deadline.
- After you submitted the proceedings, send a copy to the PubCom.
Results
- The general rule is that no physics results (values, plots, conclusion) are permitted without proper reference clearly indicated on the slide. Add appropriate references next to the plot or value.
- If your talk covers results from other experiments, you should contact the relevant people (spokesperson/physics coordinator/speaker’s bureau members of the other experiments).
- Use values from the AMBER Proposal unless results are available.
- All other AMBER values have to be checked by the appropriate physics group member during the rehearsal.
Presentation layout
- The title slide must contain: the title of the talk, your name “on behalf of the AMBER collaboration”, the name and the date of the conference.
- Slides must be numbered. Make sure that page numbers are visible on each slide.
- Define abbreviations you use.
- Avoid jargon (‘cuts’ –> ‘requirements’ etc.).
- Be consistent in the symbols and nomenclature used throughout your presentation.
- Avoid line breaks between: numbers and units, or numbers and uncertainties.
- If a value is quoted with more than one uncertainty, indicate what each means.
- Equations and symbols should be of good quality (no pixelization, no artifacts from screenshots).
- Figures must be of good resolution. Points, legends, axis labels and axis titles should be readable.
- Avoid colors that are not well visible on projectors (yellow, green)
- Make sure that fonts are large enough to be visible on a projected screen.
- Avoid showing materials that you will not discuss during your presentation. Use backup slides for such materials.
- Use a spell checker!
Poster layout
The author(s) name(s) should be your name(s) “on behalf of the AMBER collaboration”.
- References should be clearly visible: either next to the text or the plots referring to them or in a reference section at the bottom of the poster of appropriate size.
- Organize material as a consistent story, best if in a schematic way. Group material in boxes to improve the layout
- Avoid too much text. About 50% of the space on a poster should be plots.
- Do not use small font sizes (<11 pt).
